Main Purpose
The Marketing Coordinator maintains the main marketing calendar that handles all deadlines related to communications, visual services, video and production and is responsible for coordinating deadlines with sales, product development/production, and customer service departments to ensure deadlines are met and priorities are accurate. Marketing coordinator also maintains and distributes all relevant marketing assets for projects to project managers.

Duties & Responsibilities

Primary point of contact for all departments initiating a project involving marketing or departments checking on the status of jobs already in progress.
Assist with daily operations of the visual services department, communications department and outside services, ensuring smooth and efficient workflow.
Assist the Chief Marketing Officer in calendaring, tracking and ensuring timely completion of all marketing activities.
Take notes, including project ownerships and timeline at company or interdepartmental meetings that have a marketing component.
Ongoing organization and ownership of project list, deadlines and changing priorities, ensuring deadlines are met or new priorities take precedence.
Setting agenda and running weekly meetings with communications, visual services and leadership. Provide follow up notes for project ownership and weekly deadlines.
Utilize project management system/software for documenting and tracking tasks.
Manage marketing materials such as banners, tablecloths, gift certificates, etc.
Archive physical marketing assets for company records.
Organize and maintain digital brand assets for sales.
Organize and keep record of important marketing documents on the marketing "Pegasus" server.
Maintain all written marketing processes. Help team leaders to identify new processes and update existing processes.
Create Purchase Orders for marketing materials orders.
Keep stock of all marketing office supplies.
Coordinate with freelancers and other outside vendors on projects being done through the marketing department.
Review and edit copy on all web and print assets, as well as distribute to proper members of other departments for their review and approvals.
Manage and disseminate marketing assets for particular projects (i.e. write up shot list for spring photoshoot based upon production and ecommerce).
Implement/Use digital file management system for project organization and archive.

Minimum Qualifications


Appropriate Bachelor's degree, preferred Marketing or Business
Proficient with Project Management software
Proficient in Microsoft Excel and WordDegree in sales administrative or marketing related field.
Three years' experience as a marketing coordinator or comparable experience
Excellent oral and written communication skills

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
